How do I process employees with protected personal registration?

In the article, you will find information on how to process an employee with protected personal registration.

What does protected personal registration mean?

Protected personal registration is a security measure from the Swedish Tax Agency for individuals who are subject to threats or persecution. This means the person's address is not listed in the population register. Instead, all post is sent via the Swedish Tax Agency, which forwards it to the employee. Our new function is specifically developed to process this situation, and not other types of protected employee information.

Simple and secure handling in the Employee register

To activate the function, there is now a new check box, Protected personal registration, in the Employee register under the Employee information tab. You will find it just above the address fields.

When you tick the box, the following happens:

  • The normal address fields are cleared and become read-only. This prevents an address from being accidentally registered, for example via a data import.
  • A new field, Address of the intermediary, appears where you instead enter the Swedish Tax Agency’s address for postal handling.

Next to the check box, there is an information icon that explains in detail how the postal handling works and why the address fields are replaced.

Full control with new authorisations

To ensure only authorised users can manage this sensitive information, we have created a new authorisation in the system. Under Personnel > Employees > Employee information in the role administration you will find Protected personal registration. This authorisation controls who can view and edit this information. The function is available for all customers with a licence for HRM Employee and/or HRM Payroll.

Activate Protected personal registration for the role that will process this information.

Smoother process for new employment

We have also adapted the new employment process. If a new employee has protected personal registration, you can now complete the employment without having to fill in the normally mandatory address fields, creating a smoother and safer process from the start.
